Why Use Cancellation Fees?
Cancellation fees are a great way to:

  1. Encourage clients to honor their appointments.

  2. Compensate for lost time and revenue due to late cancellations or no-shows.

  3. Maintain a fair and professional booking system for all clients.

By implementing cancellation fees, you can reduce the impact of unexpected changes to your schedule and ensure your time is valued.

How to Set Up Cancellation Fees in HaltH

  1. Log in to Your HaltH Account
Access your HaltH business home using your account details.

  2. Navigate to Settings
Go to the "Settings" section and select "Bookings" and "Booking form".

  3. Enable Cancellation Policy
Toggle the option to enable cancellation policy. You can choose to apply fees for cancellations made within a specific time frame (e.g., 24 hours before the appointment) or for no-shows.

  4. Customize the Fee Structure

    • Set a fixed fee or a percentage of the service cost.

    • Define the time frame for when the fee applies (e.g., 12 hours, 24 hours, or 48 hours before the appointment).

  5. Save Your Changes
Once you’ve configured your cancellation fee settings, click "Save" to apply them to your bookings.

Communicating Cancellation Fees to Clients

HaltH will help communicate your cancellation policy by displaying it on your booking form. To make this as effective as possible, you should ensure any other references to your cancellation policy are also updated. Here’s how:

  • Remind clients of the policy when they book or reschedule appointments. A quick verbal or written reminder can help reinforce your policy and reduce misunderstandings.

By keeping your cancellation policy consistent across all communication channels, you can maintain transparency and build trust with your clients.

Managing Cancellation Fees

  • Charging Fees: When a client cancels within the specified time frame or misses an appointment, the cancellation fee will need to be manually charged to their payment method on file - more info on how to process a cancellation here.

  • Tracking Fees: All cancellation fees are recorded in your transaction history, making it easy to track and manage your revenue.

Tips for Success

  • Be consistent with your cancellation policy to ensure fairness for all clients.

  • Invite clients to create a HaltH account and have their bookings sync to their calendar.

  • Use automated reminders to reduce the likelihood of no-shows and last-minute cancellations.
